Business Administration Assistant

Prestige Nursing & Care Greater Manchester

We are currently recruiting for a Business Administration Assistant to join our busy branch team in Manchester.

This role provides essential administrative support across all areas of the branch, assisting the Account Managers, Nurses, Compliance, Recruitment, and Staff Welfare teams. The successful candidate will help ensure smooth day-to-day operations, accurate record-keeping, and effective communication throughout the branch.

Salary & Benefits

  • Competitive salary of £27,000 with the opportunity to increase earnings through bonus schemes
  • 4-day working week with flexible hours between 8:00am and 6:00pm
  • Early 4:00pm finish on Fridays (subject to rota)
  • Quarterly performance bonus and end-of-year bonus
  • £10 per week phone allowance
  • Wellbeing days and regular team social events
  • Reduced working hours between Christmas and New Year, with full pay maintained

Key responsibilities include but are not limited to;

Administrative and Office Support

  • Manage and monitor care reports, both electronic and paper-based
  • Prepare and maintain accurate records and documentation
  • Type meeting minutes and attend meetings to take notes for the Branch Manager, Account Managers, and Nurses
  • Maintain accurate records of all meeting minutes and save them within the appropriate shared folders
  • Support the archiving of paper reports and folders, ensuring documentation is filed correctly and can be retrieved when required
  • Assist the Branch Manager, Account Managers, Nurses, Compliance, Recruitment, and Staff Welfare teams with administrative tasks
  • Ensure deadlines are met and company processes are followed
  • Support general office administration and operational duties

Communication and Customer Service

  • Answer incoming telephone calls in a polite, professional, and helpful manner
  • Direct enquiries to the appropriate team member
  • Assist with general office communications, ensuring messages are passed on promptly and accurately
  • Send birthday cards to clients and staff, maintaining the branch’s warm and personal approach
  • Handle incoming telephone enquiries professionally and efficiently

Data and Record Maintenance

  • Manage staff availability requests for each rota period, including printing, filing, and chasing outstanding responses
  • Ensure all records are accurately updated and stored within the correct systems and shared drives
  • Maintain accurate logs, spreadsheets, and documentation across multiple teams

Operational Support

  • Support shift-cover responsibilities as part of the shared rota when required
  • Participate in the on-call rota once fully trained and confident in the role
  • Provide professional and courteous telephone support to staff, clients, and family members
  • Work closely with colleagues to develop a broad understanding of all branch operations
  • Ensure all emails are written using the company’s standard font, tone, and signature, with appropriate grammar and spelling
  • Create communications that are polite, concise, professional, and easy to understand

  • Maintain confidentiality and discretion when handling sensitive information
  • Foster collaboration between recruitment, compliance, and operational teams to ensure effective and efficient processes
